FoodProWest 2018 The Future of Food  -   Volunteer Application

As a volunteer, we request that you register now, as we will close volunteer applications by May 30, 2018. 

We want our guests to attend an event, where they walk away saying this was the best event ever, and the volunteers were amazing!

FoodProWest 2018 Volunteer Information:  June 20 & 21, 2018

Work Days: June 20 and /or 21 - Volunteer Coordinator  Dawn Donahue, dawn@gogolfevents.com

Date:     June 20 (set up) and June 21 – Tradeshow, Expo and Gala

Event Times:    

June 20 – 1pm-10pm (set up)

June 21 –  Tradeshow 8:00-5:00pm

June 21 -  Gala 5:00pm – 10:00pm

Location: The Westin Bayshore Hotel, 1601 Bayshore Dr, Vancouver, BC V6G 2V4

  • No. of Attendees:  200-300 Delegates/Exhibitors
  • Meeting Rooms Exhibit Space – Grand Ballroom
  • Meals and breaks – Prospect Room
  • Gala and Silent Auction– Stanley Park Ballroom
  • Parking:  Paid parking, street parking
  • Public Transportation:    The closest Skytrain station is Waterfront (15 minute walk) or Burrard (transfer to any bus down Georgia)
  • Meals:  The appropriate meals will be provided to all volunteers working a minimum of 4 hour shifts. 8 hour shift will receive two meals
  • Dress Code:        Black pants or skirt, white blouse, comfortable black closed toe shoes.
  • Smoking:             Smoking not permitted within or near venue.
  • Cell Phone:         Cell phones are to be turned off during your work shift unless advised otherwise.

Notes:  Personal Belongings must be kept to a minimum. There will be no locked office or lockers available to store any personal belongings

FoodPro West - General Positions

DAY ONE -  Set up June 20 -  All volunteers meet in foyer and move to Prospect room. 

1pm – 4pm                         Delegate Swag Bags filled and moved to Registration

4:30pm – 9 pm                  4 Volunteers for Registration booth (3 handle registration, one hands out bags)

5pm – 9 pm                        6 Runners help exhibitors with set up: 5 pm -9 pm                           

DAY TWO – Event Day – June 21   Expo: (shift 7 am -3:30pm)

7:00am       Volunteers meet at Registration Table, Designate Social Media photographer for the day

7:20am        Breakfast Buffet - Grand Ballroom Foyer

7:45am        4 Person Registration Booth - Prepare to assist Exhibitors with any last-minute details

9:30am        Registration Ends

9:45am         Meet in Prospect Room - Set up for Raffle and Live Auction – bring items to Stanley Park Ballroom

12-12:30      Lunch buffet

2:00pm         Set up Registration booth for Gala at bottom of escalator and/or across from Elevator - Have raffle tickets for sale at registration

3:00pm         Attend Networking Reception

DAY TWO – GALA – June 21 - (shift 3pm -10pm)

2:55pm         Gala shift volunteers meet in Prospect Room

  • Assist with moving décor, running if needed.
  • Assisting exhibitors with tear down, if needed.
  • Advising exhibitors about FCC reception location

4-5pm         Be available to help Venue West with Gala Set up - Possibly helping band to set up

5:00pm-630pm – Cocktail Reception – upstairs foyer     

  • 4 at Registration Booth - bottom of escalator and across from elevator
  • 2 at photo area
  • 4 Advising attendees of table numbers (charts by last name),
  • 4 selling raffle tickets
  • 4 helping with live auction (winning bidders info)

6:00-7:00 pm    Live Auction and get ready for raffle       

Approx. 9:30pm - Raffle draw and presenting thank you gifts to Judges
